Hesdin Hall Hire

The Hall is a Parish facility primarily for use in conjunction with the Church and its services, including baptisms, weddings and funerals. It is available for use by groups associated with the Parish or for other purposes at the discretion of the Parish Priest. The Hall is owned by the Westminster Diocesan Trust and can only be used for purposes which are consistent with the charitable objects of the diocesan trust. It is a condition of all hiring’s that the Hall will not be used for any purpose which is contrary to the teachings of the Catholic Church or which could cause offence. At all times the Catholic nature of the Hall must be respected. Any breach of potential breach of this condition will mean that the use of the Hall is withdrawn.

For private bookings a damage deposit of £50 is required at the time of booking. The deposit will be returned in full within one week after use of the Hall. If additional cleaning of the Hall is required £20 will be deducted from the deposit to pay for the cleaning.

Full payment of the hire fee is due 28 days before the date of hire, or immediately upon signing the Hire Agreement if the hire period is within the next 28 days. Cancellation fees may be payable in the event of a cancellation, as set out in the Conditions of Hire.

APPLICANTS FOR HIRE

Only persons, who are at least 18 years of age and have been registered as members of the Church of the Most Sacred Heart Parish Ruislip for at least a year, and come to Mass regularly, may apply for the private hire of the Hesdin Church Hall. A person may not apply for the private hire of the Hall on behalf of a third party, whether a member of the parish or otherwise.

RESTRICTIONS ON AVAILABILITY

The Hall is not available for private hire where the Hall facilities are to be used either for Sports Club functions and activities, or for the celebration of a teenage (18th or 21st) party. Birthday parties for 12 year olds or under are permissible. Currently we are not hiring out the hall in the evenings.

The Hall is not available for private hire for dates or periods which may conflict either with important events in the religious calendar or with times of religious services held in the Church. The Hall is not available for hire between 17.30 hours and 19.30 hours on Saturdays, Sundays and Holy Days of Obligation.

The Hall is not available for private hire after 23.00 hours. All functions must end by 23.00 hours with the Hall cleaned and vacated by midnight.

The Parish Council reserve the right to decline any application for a private hire without giving any reason thereof.

FEES & CHARGES

The “hirer” is the person who signs the formal application for a private hire of the Hesdin Church Hall.

The hirer is required to sign a formal agreement to abide by the Regulations for the Private Hire of the Hesdin Church Hall and to remit to the Parish Administrator the appropriate fees and such amount by way of deposit as may be notified. A cheque should be made payable to Church of the Most Sacred Heart, Ruislip.

Access to the Hall will be refused where the fees have not been paid in full or where any of these Regulations have not been complied with.

A refundable deposit is required at the time of confirmation of booking. This deposit will be held by the Parish Administrator until such time as the event has taken place and the premises have been inspected and found to be in the order in which the Hall was prior to the booking.

Once you have agreed a date for a hall hire booking with the parish administrator, please read the hall hire regulations before you sign and return the hire of premises agreement along with your deposit. Also, please print off the quick hall hire checklist for you to tick and sign at the end of your hall hire and return to the presbytery along with the hall keys.
